1. Scope and roles
This policy applies to the AIfollowUp.net public website and the AIfollowUp portal. It explains what information we collect, why we use it, how we share it, and the choices available to you.
A business that uses AIfollowUp.net to contact its leads generally decides why and how that lead data is used. In that relationship, the business is the controller and AIfollowUp.net acts as a processor or service provider. For our own website, account administration, billing, support, and security, AIfollowUp.net generally acts as the controller.
This policy is not a substitute for the privacy notice a business gives to its own leads, customers, or employees.
2. Information we collect
We collect information you provide, information created when you use AIfollowUp.net, and limited technical information from browsers and devices.
- Account information: name, work email, company, login details, team role, permissions, billing status, and support communications.
- Lead information: contact details, company name, source page, consent status, notes, appointment requests, and other information submitted through a form or entered by your team.
- Communication records: calls, recordings where configured, voicemails, SMS, email, replies, transcripts or summaries, salesperson flags, flow activity, meeting status, and related timestamps.
- Billing information: plan, unit purchases, payment status, and transaction references. Full card details are handled by the payment provider rather than stored by AIfollowUp.net.
- Technical information: IP address, device and browser information, approximate location derived from IP, log data, security events, and diagnostic information needed to operate the platform.
3. Lead data and customer responsibility
When you submit a lead form, we process the information to deliver the form submission to the business that operates the form, start the requested follow-up, and support the appointment process. The business receiving the lead is responsible for its own privacy notice, consent language, and lawful basis for contacting the lead.
Leads should direct access, correction, or deletion requests to the business they were initially contacting. We may help route a request, but we may need the responsible business to verify and approve it.
4. Cookies, local storage, and tracking
AIfollowUp.net uses cookies, local storage, and similar technology needed for sign-in, security, preferences, and core portal operation. These technologies may remember a session, preserve settings, or help protect against abuse.
We do not currently rely on advertising cookies on the public website. If we add optional analytics, advertising, or third-party tracking, we will update this policy and provide any required choices. Browser settings may allow you to block or remove cookies, but blocking essential storage may prevent the portal from working.
5. How we use information
We use information to provide and operate AIfollowUp.net, deliver lead forms and follow-up, place and receive calls, send SMS and email, maintain conversation history, schedule and confirm meetings, manage users and permissions, process billing, provide support, prevent misuse, comply with law, and improve the reliability of the platform.
We may also use aggregated or de-identified information that cannot reasonably identify a person to understand product performance, troubleshoot issues, and improve our services.
6. Legal bases for processing
Depending on your location and the context, we rely on one or more of the following legal bases:
- Contract: processing needed to provide the portal, follow-up tools, and requested services.
- Consent: processing based on the permissions you or a lead have provided, including consent for calls, texts, or optional analytics.
- Legitimate interests: operating, securing, supporting, and improving AIfollowUp.net, provided those interests are not overridden by your rights.
- Legal obligation: keeping records, responding to lawful requests, preventing fraud, and meeting tax, billing, or regulatory requirements.
Where a business provides lead data to AIfollowUp.net, that business is responsible for identifying its own lawful basis and providing its own privacy notice.
7. How we share information
We may share information with service providers that support cloud hosting, databases, telephony, SMS and email delivery, AI processing, calendar scheduling, payment processing, analytics, security, and support. These providers receive information needed for their function and are expected to protect it.
We may also share information with the business account that owns the relevant portal; with a salesperson or team member authorized by that account; when required by law, legal process, or a valid government request; to protect rights, safety, and platform integrity; or as part of a merger, acquisition, financing, reorganization, or sale of assets.
We do not sell personal information, and we do not use customer lead data for unrelated advertising. If our practices change, we will update this policy and provide any choices required by law.
8. Retention and security
We retain information for as long as needed to provide AIfollowUp.net, meet contractual and legal obligations, resolve disputes, maintain security, and support legitimate business records. Retention periods vary by the type of record, the customer's settings, and applicable law. When information is no longer needed, we may delete it or de-identify it, subject to backup and legal-retention requirements.
We use administrative, technical, and organizational safeguards designed to protect information, including access controls, encryption in transit, logging, and vendor oversight. No system is completely secure. If you believe an account or lead record has been compromised, contact us promptly so we can investigate.
Some service providers may process information outside the country where it was collected. Where required, we use contractual or organizational measures intended to protect international transfers. Contact us for information about the safeguards applicable to your account.
9. Your rights and choices
Depending on your location, you may have the right to request access to, correction of, deletion of, restriction of, or a copy of certain personal information. You may also have the right to object to certain processing or withdraw consent where processing is based on consent. These rights are not absolute and may be limited by law or the rights of others.
Account owners can update certain information directly in the portal. Other requests can be sent using the contact details below. We may need to verify your identity and the account you are asking about. If your request concerns lead data controlled by a business, we may direct the request to that business.
We do not charge a fee for most requests, but we may charge a reasonable fee or decline a request where the law permits, particularly if a request is repetitive or excessive.
10. Calls, texts, email, and marketing choices
AIfollowUp.net helps businesses communicate with leads. The business sending those communications is responsible for obtaining the required consent, identifying itself, honoring opt-outs, and complying with applicable telemarketing, texting, email, and privacy laws.
A recipient can opt out of SMS by replying STOP or using another stated opt-out method. HELP requests should return appropriate assistance information. Promotional email should include an unsubscribe method. We and our customers should honor these requests promptly and must not restart automated outreach unless a lawful basis exists.
We may send service, security, billing, and account notices that are necessary to operate AIfollowUp.net. These messages are separate from optional marketing.
11. Children, external links, and policy changes
AIfollowUp.net is a business service and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us and we will take appropriate steps to remove it.
AIfollowUp.net may link to third-party websites or services. We do not control their privacy practices. Review the privacy policy of any third-party service before sharing information with it.
We may update this policy as the platform changes. We will post the revised policy with a new effective date and provide additional notice where required. Continued use after an update means the revised policy applies, subject to any rights you have under applicable law.
