The voicemail job

A sales voicemail has one job: make the next action easy. It does not need to explain the entire offer. It needs to establish relevance and invite a response.

The prospect may listen while walking into a meeting. If they cannot understand your reason for calling in the first few seconds, they will likely delete the message.

The 25-second formula

  1. Name and company: “Hi Jordan, this is Maya from AIfollowUp.”
  2. Reason: “I am calling about the website leads your team is running.”
  3. Specific question or value: “I wanted to check whether new form submissions are getting an immediate call or text.”
  4. Next step: “If that is worth a two-minute conversation, call me back at 555-0142.”
  5. Number again: Repeat the number slowly.

Do not start with “I was just calling to touch base.” That gives the buyer no reason to call back.

Five voicemail scripts

1. The context voicemail

“Hi Jordan, this is Maya from AIfollowUp. I am calling because your team is running local lead ads. I have a question about how quickly new form leads get a callback. If it is worth a short conversation, my number is 555-0142. Again, 555-0142. Thanks.”

2. The follow-up voicemail

“Hi Jordan, Maya from AIfollowUp. I sent a short note about the follow-up process for your form leads. I wanted to add one point: the sequence can start with a text and a call while the lead is still warm. If you want the context, call me at 555-0142. Thanks.”

3. The referral voicemail

“Hi Jordan, this is Maya from AIfollowUp. I was trying to reach the person who manages lead follow-up. If that is you, I have a question about how website and ad leads are handled. If not, could you point me to the right person? My number is 555-0142.”

4. The event or trigger voicemail

“Hi Jordan, Maya from AIfollowUp. I saw that you are hiring appointment setters. I am calling because many teams use automated follow-up to cover the first response while new setters ramp up. If that is relevant, call me at 555-0142. Thanks.”

5. The after-hours voicemail

“Hi Jordan, Maya from AIfollowUp. I am calling after hours because your form came in this evening. I will follow up in the morning, but if you would rather book a time now, call me at 555-0142. Thanks.”

Use voicemail in the right cadence

Voicemail works best as part of a sequence:

  • Call.
  • If no answer, leave a relevant voicemail at the right point in the cadence.
  • Send a short SMS or email with context.
  • Try another call at a different time.
  • Stop when the buyer opts out or asks you to.

Do not leave a voicemail after every dial. That creates a poor experience and can feel harassing. Read sales cadence best practices for timing.

Make the callback easy

  • Say your number slowly.
  • Repeat it once.
  • Avoid background noise.
  • Keep your greeting consistent with your caller ID.
  • State the reason for the call before the callback request.
  • Do not use a fake “urgent” reason.

If your team uses AI voice agents, make it clear when a message is automated and respect any request to speak to a person. Transparency is more valuable than a perfect voice.

What to measure

Track:

  • Voicemails delivered.
  • Callbacks.
  • Conversations started after a voicemail.
  • Meetings set.
  • Opt-outs and complaints.

A low callback rate does not automatically mean the message is bad. It may be the list, the reason, the caller ID, or the timing. Test one variable at a time.

One small improvement

Listen to your last five voicemails. Remove the first sentence and replace it with the most relevant reason for the call. Keep everything else under 30 seconds. That single edit often makes the message more useful—and more likely to earn a callback.
